Our client is looking for an excellent member of staff to perform specific administrative duties and provide generic administrative support across the Commissioning and Inclusion Division within the Childrens and Young People’s Service.
Temp post starting ASAP to cover a secondment
Main Responsibilities
Responsible for the provision of high quality administrative support to Local Authority panels and primary consortia.
Responsible for the organisation, preparation, collation and circulation of agendas and supporting documents prior to a panel or consortia meeting.
Attendance at panels and consortia meetings for the purpose of minute taking. Follow up work from panels and consortia to include circulation of minutes, inform relevant parties of outcomes and undertake any additional follow up work required.
Develop the collection of data and continue to improve analysis of data to support the work of individual teams, panels and consortia.
Ensure that accurate information is recorded on relevant IT systems and undertake a lead function and link with SIT on the management and utilisation of EMS data.
Manage the exchange of sensitive or contentious information with Managers, maintaining confidentiality at all times.
Liaise with schools, Headteachers, SENCos and other professionals within Childrens and Young People’s Services and partner agencies to ensure that policy and practice in relation to Commissioning and Inclusion is communicated effectively.
Co-ordinate the processing of orders and invoices for Commissioning and Inclusion and perform a lead role with regards to the SAP financial management system.
Co-ordination and responsibility for Best Value performance Indicators data, data retrieval and strategic management information relating to the Commissioning and Inclusion Division.
To lead or contribute to project management/development within Childrens and Young People’s Services.
It is vital that confidentiality is maintained at all times when dealing with information and the post holder will be expected to exercise independent judgement and initiative based on good practice and acquired knowledge in problematic situations.
Exercise independent judgement and initiative in relation to managing the Commissioning and Inclusion Division priorities and ensure work is completed to the necessary standards and timescales agreed.
Support the general administrative duties required across the Division while managing your own workload and resolving problems as they arise.
Contribute to the coaching and development of appropriate staff.
Engage in and contribute to personal development activities and training.
Maintain confidentiality of information at all times in accordance with the procedures of the Freedom of Information Act and Data Protection.
Undertake a lead operational function on information sharing and data protection.
Qualification ans Skills
Good standard of general education
Well developed ICT skills including proficiency in Word, Excel, Internet and EMS database
Evidence of current and continuous professional development
An appropriate qualification in ICT, for example ECDL would be an advantage.
Shorthand would be an advantage
Recent experience of working within an educational or social care environment
Experience of working as part of a team, or teams, including multi-agency teams
Experience in providing administrative and data support as part of team working
Experience in dealing with queries, ensuring highest quality standards in terms of professional practice and maintaining confidentiality*
Experience of servicing meetings, courses and conferences and associated functions
